Theater Operations Coordinator
REPORTS TO: CVLT Board of Directors
Summary of Position:
The Theater Operations Coordinator is responsible for all day-to-day operations of the Chagrin Valley Little Theater, a 501©(3) non-profit arts organization, located in downtown Chagrin Falls, Ohio, which includes a 248-seat Main Stage Theater, a 65-seat River Street Playhouse, the Sears River Room (all purpose room, concessions) and the Neff Building (administrative offices, public restrooms, all purpose room).
This is an hourly position starting at $22 per hour from 1-6 M-F.
Essential Functions:
Box Office:
- Responsible for ‘first-contact’ customer service and assistance, including Box Office calls, emails, and in-person patron visits.
- Prepare tickets and ticket reports for each production date.
- Maintain database of tickets sales, donations, and volunteers, utilizing Arts People software.
- Manage group and subscription ticket sales, flex passes, ticket donations, complementary tickets and gift certificates.
- Schedule Box Office staff for each production date.
Administrative:
- Abide by CVLT policies and procedures.
- Responsible for accounting in Quickbooks, including managing receipts, invoices, reimbursements, tax forms and financial reports in coordination with the CVLT Treasurer.
- Responsible for submitting payroll to payroll provider every two weeks, adding and/or deleting employees, as needed, and payments to all 1099 contractors.
- Coordinate and maintain volunteer lists and communications for ushers, house managers and concessions volunteers.
- Assist with the production of show Playbills and any marketing activities in cooperation with the Executive Committee and the Marketing and Publicity Committee.
- Assist with Special Events, as needed.
- Attend monthly CVLT Board Meetings and two Executive Committee meetings per month.
- Member ex-officio of all standing committees at CVLT.
Facilities:
- Coordinate the use and scheduling of all CVLT venues, including maintenance of the Facilities calendar and communication with facilities users.
- Issue/track/collect keys, organize access to the space(s) for production staff and visitors.
- Supervise cleaning contractor, maintain cleaning supplies, and ensure all spaces (including restrooms) are presentable for performances, events, meetings, etc.
Perform such other responsibilities and duties as assigned by the CVLT President and the Board of Directors.
Desired Skills:
The ideal candidate for this role should have:
- Strong customer service and communication skills.
- Familiarity with QuickBooks and basic record-keeping.
- Strong organizing and personnel management skills.
- Comfort with Google Business and Microsoft Office.
- Ability to multitask and prioritize.
- Flexibility to attend occasional evening and weekend events
- Familiarity with non-profit operations and the arts is a plus!
